QuickBooks Cleanup & Catch-Up Services

Months or years behind? We rebuild the file, reconcile the history and hand you back books you can actually trust.

Intuit Certified Gold ProAdvisors 35+ years combined experience Based in Frisco, Texas Fixed monthly pricing, no surprises

You already know something's wrong with the file

Maybe the balance sheet shows a number that can't possibly be right. Maybe there's an "Ask My Accountant" account with four hundred transactions in it. Maybe nobody has reconciled the checking account since 2023 and the last bookkeeper stopped answering emails.

This is the most common call we get, and it's rarely as bad as the owner fears. A QuickBooks file that's been neglected is a solvable problem. A QuickBooks file that looks fine but was never reconciled is the more dangerous one, because people file taxes on it.

We're Intuit Certified Gold ProAdvisors. Cleanup work is what the certification is actually for.

Signs your books need a cleanup

If more than two of these are true, it's worth a conversation.

  • Your bank or credit card accounts haven't been reconciled in months
  • The balance sheet shows negative balances that shouldn't exist
  • There's an unexplained "Opening Balance Equity" figure sitting on the books
  • Transactions are piling up in "Uncategorized Expense" or "Ask My Accountant"
  • Your CPA charged extra last year to fix things before filing
  • Duplicate transactions appear after connecting a bank feed
  • Undeposited Funds keeps growing and never clears
  • You genuinely don't know whether the business made money last year

How a cleanup works

  1. Diagnostic review

We get accountant access and go through the file. Free, and you get a written summary of what we found either way.

  2. Fixed quote & timeline

One number, one date. You approve before any work starts.

  3. The rebuild

Chart of accounts corrected, transactions recategorized, duplicates removed, every account reconciled to statement.

  4. Handover

Corrected statements, a summary of what changed and why, and a walkthrough call. Your CPA gets a copy if you want.

Most clients move onto a monthly plan afterwards so the file never gets back into that state — but there's no obligation to.

QuickBooks cleanup questions

How much does a QuickBooks cleanup cost?

It depends on how many months are behind and how many accounts are involved. Most cleanups we quote fall between $750 and $3,500 as a one-time project. We give you a fixed number before we start — we don't bill cleanup hourly, because nobody should sign a blank cheque for work like this.

How long does a cleanup take?

A single year with a couple of accounts is usually one to two weeks. Multiple years, or a file with payroll and inventory problems, can take four to six. You'll get a timeline with your quote.

My books are three years behind. Is that too far gone?

No. We've taken on files that hadn't been reconciled since the business opened. It takes longer and costs more, but it is almost always recoverable — and it's almost always cheaper than the penalties for filing on bad numbers.

Will I need to give you my bank passwords?

No. We work through QuickBooks' own secure bank feeds and read-only accountant access. We'll never ask you to hand over banking credentials.

What if you find something bad?

We tell you plainly, and we tell you before it becomes a bill. Sometimes a cleanup turns up unfiled sales tax or misclassified payroll. Finding it now is much better than a notice finding it later.
