Plano businesses have older books — and older problems

Plano isn't a startup town. A lot of the businesses here have been running for ten, fifteen, twenty years, and the bookkeeping has accumulated history the whole way. That produces a different set of problems than a brand-new company has.

The chart of accounts grew organically and now has four categories that mean roughly the same thing. There's a QuickBooks Desktop file living on one PC in the back office that nobody wants to touch. A second entity got added at some point and the expenses between them were never properly allocated. The bookkeeper who understood all of it retired last year.

None of that is unusual and none of it is unfixable. But it's not the same job as setting up books for a business that opened in March, and it shouldn't be priced or approached like one.

One Source Bookkeeping is Kristina Weaver and John Morgan — both Intuit Certified Gold QuickBooks ProAdvisors, with more than 35 years between us. We take on established files, work out what's actually going on inside them, and get them accurate.

What we get called about in Plano

These five come up again and again with established businesses.

  • The bookkeeper left. Someone ran the books competently for years and is now gone, and nobody else knows how the file was organized.
  • Desktop that never got migrated. A QuickBooks Desktop file still running locally, with a decade of history in it that nobody wants to risk losing.
  • Entities that multiplied. A second or third LLC added over the years, with shared expenses that were never allocated on any consistent basis.
  • A chart of accounts nobody pruned. Fifteen years of well-meaning additions, so the P&L has three lines that all mean "supplies" and none of them are useful.
  • Reconciliations that quietly stopped. Often years ago, often when a bank changed its feed, and the balance sheet has been drifting ever since.

Who we work with here

Consultants & independent professionals

Plano's corporate corridor supports a large population of independent consultants and contractors. Retainer income, 1099 work and reimbursable expenses all need handling properly so quarterly estimates aren't a guess.

Contractors & trades

Job costing that actually ties to the P&L, retainage tracked, and subcontractor 1099s handled before January becomes a crisis.

Medical & dental practices

Practice management software reconciled against the bank, and insurance deposits that arrive as one lump sum covering forty patient payments untangled correctly.

Retail, restaurants & salons

Daily POS sales reconciled, sales tax filed on time, and tip liability recorded the way it should be.

Questions from Plano business owners

Our bookkeeper just left. Can you take over mid-year?

Yes, and it's one of the most common ways clients come to us. We'll get access to the file, work out what state it's actually in, and tell you honestly whether it needs cleanup before we can run it monthly. Taking over mid-year is normal — we'll have your books current and reconciled well before your CPA needs them.

We're still on QuickBooks Desktop. Do we have to move to Online?

No. We're Gold Certified in both and we'll happily keep running your Desktop file. That said, Intuit has been steadily narrowing Desktop's future, and most established businesses we work with eventually move. When you're ready we handle the migration including full transaction history — that's a specialty of John's.

We've got three entities and they share some expenses. Is that a problem?

It's a normal Plano situation and no, it isn't a problem — but it does need to be set up deliberately. Shared costs have to be allocated consistently and intercompany transactions have to net out, or your CPA spends billable hours untangling it every spring. Multi-entity work falls under our Full-Service plan.

Are you actually local, or is this a national company with a Plano page?

Genuinely local. We're based in Frisco, about fifteen minutes up the Tollway, and we're a two-person firm — Kristina Weaver and John Morgan. You'll work with one of us directly, and we're glad to meet in person in Plano when it's useful.

How far back can you clean up?

As far back as it needs to go. We've taken on files that hadn't been reconciled in years. Older books take longer and cost more, but they're almost always recoverable — and almost always cheaper to fix than to keep filing around.

Where we work

We're based in Frisco and work on-site or remotely across North Texas. Outside DFW, we serve clients nationwide — bookkeeping has been a remote profession for years, and QuickBooks Online makes distance irrelevant.

Thirty minutes, no charge. We'll tell you honestly what shape your books are in and what it would take to get them right.
