QuickBooks Desktop support is ending. What should your business do?

What changes when your version loses support, and how to choose between upgrading Desktop and moving to QuickBooks Online.

If your business still runs QuickBooks Desktop, the version year on your software matters more than it used to. Intuit retires support for each Desktop version on a fixed schedule, and it has stopped selling most Desktop products to new customers. Here's what that means in practice and how to decide what to do next.

What's actually changing

What stops working when support ends

The software doesn't disappear. Your file still opens, your reports still run, and you can still enter transactions by hand. What you lose are the connected services that make modern bookkeeping efficient and safe:

For most businesses the bank feed and payroll losses are the deal-breakers. Manual entry takes time, and it's exactly where reconciliation errors creep in.

How to check your version

Open QuickBooks Desktop and press F2 to open the Product Information window. The product name and year are at the top. If you see a year that is three or more years old, your support has ended or will end soon.

Your three options

1. Move to QuickBooks Online

This is where Intuit is putting its development effort, and it's the right move for most small businesses. You work from any browser, your accountant can log in directly, bank feeds and apps connect easily, and there's no version to retire. The trade-offs: a monthly subscription, and some Desktop features (advanced inventory, certain industry editions and reports) work differently or need an add-on app.

2. Stay on Desktop with a current subscription

If you already subscribe to Pro Plus or Premier Plus, renewing keeps you on a supported version. This can make sense if you depend on a Desktop-only workflow and aren't ready to change, but plan for the fact that new Desktop sales have largely ended.

3. Move to Desktop Enterprise

Enterprise is the Desktop product Intuit still sells to new customers. It's built for larger, more complex operations such as heavy inventory, multiple users and industry-specific reporting, and it's priced accordingly. For most small businesses it's more than they need.

Questions to ask before you decide

If you migrate, clean up first

A migration copies whatever is in your file, including old mistakes. Before converting, we recommend reconciling every bank and credit card account, clearing out stale undeposited funds and old open invoices, and tidying the chart of accounts. A clean file converts faster and gives you trustworthy numbers from day one in QuickBooks Online.

Desktop-to-Online migrations, including full transaction history, are a specialty of ours. See our QuickBooks setup and migration service, or book a free books review and we'll tell you which option fits your business.
